Trades Front Office

Your front office. Without the hire.

Calls answered. Jobs scheduled. Customers kept informed.

A professional remote front office for contractors who need office discipline without adding a full-time employee.

Professional call handling
Scheduling and reminders
Follow-up ownership
Written operating rules

The office work follows you everywhere

Your crew is in the field. Your customers still need answers.

When the owner is working, driving, estimating, on a roof, or under a house, the front office does not disappear. It lands back on the owner.

MISSED CALLS

Good leads do not always leave a message.

The person who needs service now may simply call the next contractor.

SCHEDULE UNCERTAINTY

Customers should not have to ask if you forgot them.

Expected dates and changes need consistent communication.

FOLLOW-UP

Every callback and estimate needs an owner.

Promised actions stay visible until somebody closes the loop.

OWNER OVERLOAD

The office is taking time from the work that pays.

Scheduling, reminders, and updates should not consume every break in your day.

What TFO handles

More than answering the phone.

TFO runs the repeatable office work and follows your written rules when real-world exceptions happen.

Call handling

Answer under your business identity, capture the right details, and route urgency correctly.

Lead intake

Record service need, address, timing, contact details, and the next promised action.

Scheduling

Book only approved windows and keep commitments aligned with visible capacity.

Recurring service

Maintain future dates, reminders, and an accountable process for missed or moved visits.

Customer updates

Communicate expected service and owner-approved schedule changes before customers have to ask.

Follow-up

Keep quotes, callbacks, estimates, complaints, and customer commitments in one operating queue.

Teach us how your business works

We run the front office your way.

Your team keeps its number, customer data, and field-service system. TFO documents the operating rules and works inside the approved boundaries.

Map the operation

We learn your calls, customers, territory, crews, schedule, systems, promises, and exceptions.

Approve the playbook

Greeting, scheduling, pricing, weather, escalation, complaints, and closeout rules are written down and approved.

Run and improve

TFO handles the office workflow, surfaces what needs attention, and keeps you informed about exceptions.

Recurring service in practice

The software remembers repetition. The human front office manages exceptions.

A landscaping customer receives service every two weeks. TFO maintains the future date and advance notice. If rain moves the route, TFO follows the contractor's approved move sequence and contacts affected customers.

When the schedule changes, your customers know.

Why Trades Front Office

Corporate discipline. Contractor reality.

Small contractors deserve the same disciplined customer service and office processes larger companies take for granted.

Our operating approach comes from years of Fortune 500 experience training management and staff in scheduling, billing, collections, procedures, and customer communication, combined with decades of firsthand exposure to family-run contracting businesses.

Built around outcomes

Customers can reach you, know what to expect, hear about changes, and receive promised follow-up.

Written rules, not memory

Every client has an operating playbook a trained backup operator can follow.

Human judgment where it matters

Systems handle repetition; the front office handles exceptions, escalation, and continuity.

Defined scope and capacity

Reasonable-use assumptions protect service quality. High-volume or complex work is scoped separately.

Transparent starting prices

Less than another employee. More than an answering service.

Final scope depends on call volume, customer volume, seasonality, scheduling workload, and the operating responsibility TFO will carry.

Frequently asked questions

Practical answers before we talk.

TFO is designed to support the way your business operates, not force your crew into a replacement system.

Is TFO just an answering service?

No. Call handling is one part of the service. The core offer also includes scheduling, recurring-service organization, customer updates, follow-up ownership, and a written operating playbook.

Do I have to change my phone number?

No. The intended setup keeps your published number and routes calls into a system that identifies your business and presents the correct operating rules.

Can TFO work with Jobber or Housecall Pro?

The application is designed for modular Jobber and Housecall Pro connections. Live synchronization depends on the contractor's account access and approved provider credentials.

Does TFO provide 24/7 human coverage?

Not by default. Coverage hours, overflow, voicemail, and after-hours handling are defined during onboarding. We do not promise continuous personal coverage.

Can TFO quote prices or make technical decisions?

Only when an approved written rule permits it. Otherwise TFO collects the facts, schedules an estimate, or escalates. Trade diagnosis and safety decisions remain with the contractor.

How do we get started?

Complete the contractor fit assessment. You will receive a starting package recommendation and can book a 30-minute onboarding call immediately.
